Duties
Description
of Duties (from the national by laws)
National
President
The
National President shall preside at all national conventions, call all
special meetings, enforce a due observance of the national constitution
and by laws, give strategic direction for the sorority, provide training
for the National Executive Board, serve as the sorority spokesperson,
appoint all committees not otherwise provided for, and to serve as
ex-officio member of such committees, to approve any unforeseen
expenses, preside over all President's Council meetings, appoint
a financial review committee to perform an annual review of the national
books and records
and to perform other duties as this office may require.
The
President-Elect shall shadow the President for one year prior to the
start of their term; participate in the national policy decisions. The
President-Elect may serve concurrently with another office.
Vice
President Business Operations
The
Vice President of Business Operations shall set policy for business
activities. This officer
shall supervise the financial review committee, convention coordinator,
awards chair, and constitutional revisions committee chair.
She will serve as the NEB liaison to the financial advisor and
legal advisor. This officer
shall also oversee the service program of the sorority.
Vice
President of Administration
The Vice President of
Administration shall carry out such duties as prescribed by the National
Executive Board. It shall
also be the duty of this officer to keep an accurate record of the
proceedings of all national organization meetings and to keep an
accurate database of all past and current members.
This officer shall head the Nominating Committee and be
responsible for correspondence within the sorority, as well as keeping
the permanent records updated. In addition, she will also provide
addresses for mailing of national publications and provide information
to any active chapter, alumnae chapter, or national officer.
She will receive the Membership Status Report Form and update
members’ addresses each semester.
She shall receive the Dues Transmittal Form and payment for
national dues from each chapter each semester.
After confirming that the amount of dues submitted ties to the
membership information submitted on the Member Status Report Form and
noting the check number and postmark date, she will forward the checks
and a copy of the Dues Transmittal Form to the Vice President of
Finance.
Vice
President of Communications
The
Vice President of Communications develops and oversees a comprehensive
public relations and marketing plan for the sorority.
Working with the National President, Vice President of
Expansions, and Vice President of Alumnae Relations, the Vice President
of Communications is responsible for presenting a consistent and
professional image in all sorority publicity and external
communications. This officer
solicits, assigns, collects, approves, composes and/or edits writing for
all national electronic and print media.
This also includes acquiring and serving as liaison with vendors
providing services such as advertising, photography, layout, mailing
fulfillment, printing, and web publishing.
The Vice President of Communications assists local chapter and
colony publicity when requested.
Vice President Alumnae
Relations
The
Vice President of Alumnae Relations shall give strategic vision for the
alumnae network, serve as chairman of and provide training to the
District Alumnae Advisors. The
Vice President of Alumnae Relations shall also preside over the alumnae
liaison council, consisting of active chapter secretaries and alumnae
chapter presidents. The Vice
President of Alumnae Relations shall also plan an “alumnae track”
for the national convention. This
track shall include sisterhood activities and workshops geared toward
the interest of our alumnae.
Vice
President Leadership Development
The
Vice president of Leadership Development shall set policy, appoint, and
supervise the Traveling Leadership Consultant network, provide the
visionary leadership and skill development for the Traveling Leadership
Consultant network, provide the content for the workshops the Traveling
Leadership Consultants present at the chapter or district levels and at
convention.
Vice
President of Expansions
The
Vice President of Expansions shall coordinate and plan for the expansion
of the sorority at the undergraduate level. She
shall receive payment of all colonization fees. She shall prepare an
accurate and detail accounting of these fees and submit all collections
directly to the Vice President of Finance for deposit.
Vice
President of Advancement
Planning
The Vice President of
Advancement Planning shall develop the vision for fundraising strategies
related to the omega phi alpha foundation, develop disbursal strategies
and policies for the omega phi alpha foundation, supervise the
implementation of those strategies, supervise the ongoing research for
recruitment and management of the fundraising consultants.
National Membership
Director
The
National Membership Director shall oversee all chapter-pledging programs
and assist local membership directors in pledge recruitment and pledging
procedures. It will be her
duty to provide each chapter with weekly quizzes and a national test
study guide to be used at each chapter's discretion.
She shall provide this information to the chapters at the
beginning of each school year, should changes occur.
She shall receive the summary results of each pledge class and
shall forward the names of all members who shall be admitted for active
status to the Executive Secretary. In
addition, she will send written confirmation of eligibility of active
status within one week after receipt of the pledge summary.
She shall also forward, to the Executive Secretary, the roster
forms detailing the permanent addresses of any pledges.
She shall track the progress of all pledges through the receipt
of the pledge summary form. The Membership Director shall notify each
new member personally of the rights and privileges of lifetime
membership by mailing active pins and membership certificates after
confirmation of fulfillment of the pledge requirements. In addition, she
shall include an explanation of the circumstances under which those
rights and privileges can be forfeited.
The Membership Director shall chair the national membership
council.”
Vice President Finance
The
Vice President of Finance shall present the financial statements,
including a balance sheet, statement of revenue and expenses and a
budget statement, for the national organization at the national
convention. This officer
shall record and deposit all monies and shall record and make all
authorized disbursements for the national organization.
She shall provide back-up files for all the sorority's financial
information to the National Executive Secretary, including (but not
limited to) a full back-up of the accounting system files and any other
files maintained with sorority financial information.
She shall reconcile the bank account(s) of the sorority monthly
and submit a copy of the reconciliation along with system reports to
another national officer for review.
This officer shall chair the budget committee and present the
annual operating budget for approval at convention, as well as prepare
all returns required by the Internal Revenue Service.
The return(s) shall be prepared by the individual who closes the
books for the fiscal year and prepares the financial statements.
